The Response Template System
The fastest win: create AI-drafted templates for your 10 most common customer questions. Think about what you answer on repeat:
- "Do you offer refunds?"
- "When will my order ship?"
- "Can you make a custom order?"
- "I have a problem with my purchase."
For each one, use this prompt:
Write a helpful, warm customer service response to a customer asking about [topic]. Our policy is [brief policy]. Keep it under 80 words. Sound like a real person, not a robot.
Save each one. Now your team (or just you) can handle these in 15 seconds instead of 5 minutes.
Handling Difficult Customers
Angry customers require a specific approach — acknowledge, empathize, resolve. AI is surprisingly good at this:
A customer is upset because [issue]. Write a response that: (1) acknowledges their frustration, (2) takes responsibility without admitting fault, (3) offers a specific resolution, and (4) ends on a positive note. Tone: sincere and professional.
This turns a stressful 20-minute reply into a 2-minute task.
Scaling Personalization
Personalized responses feel better than templates, but you can't write 50 custom emails a day. The solution: add one custom variable to each response.
Write a thank-you note to a customer who bought [specific product]. Reference why that product is special. Under 60 words. Sound genuine.
Swap in the product name each time. You get personalization at scale without the effort.
